Business Assistant* to the SVP, Corporate Development and Investor Relations

Location: Darmstadt (Germany)

 

As our Business Assistant*, you report directly to the SVP of Corporate Development and Investor Relations and provide executive support in a one-on-one working relationship. You support with administrative tasks and will have the ability to work independently on projects and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

 

 

Your responsibilities

 

Administration responsibilities:

 

  • Completing a broad variety of administrative tasks for the SVP including:
    • Managing calendars and all meeting requests
    • Completing expense reports
    • Composing, preparing correspondence information that is sometimes confidential
    • Arranging detailed travel plans, itineraries and agendas
  • Acting as the point of contact among executives, employees, investors and other external partners
  • Managing information flow to the SVP Corporate Development and Investor Relations in a timely and accurate manner
  • Organizing meetings, including scheduling, sending reminders and organizing any content needed
  • Handling correspondence directed to managers
  • Maintaining the current filing and database system and looking for ways to improve current systems
  • Managing budgets and travel spend

 

Business Support responsibilities:

 

  • Various project coordination tasks within the Investor Relations, M&A and PMI team
  • Liaising with the Investor Relations team on planning and organisation of Investor meetings, Earnings and Capital Market’s Day 
  • Create content and execute specific communication tasks (e.g. Corporate Development SharePoint)

 

 

Your Profile

 

  • Two to four years professional experience in executive office or administrative support areas
  • Excellent written and spoken English
  • Excellent Microsoft Office skills, including Outlook, Excel and PowerPoint
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks with excellent attention to detail and a quick grasp of business issues
  • Excellent time management skills
  • Ability to work over various time zones
  • Attention to detail and critical thinking skills
  • Teamwork and collaboration skills
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer/client service and response
  • Strong project coordination skills
