EA to the SVP, Global Alliances and Channels

 

The Executive Assistant (EA) to the SVP, Global Alliances & Channels is an integral part of the Global Alliances team at Software AG.

 

The EA provides organizational support in scheduling meetings and booking travel and managing expense reports. The EA is supporting several important operational procedures on behalf of the SVP, Global Alliances & Channels and the Global Alliances team.

Additionally, this person supports administrative procedures, budget management and reporting and contributes to special projects.

 

This role requires a very high level of attention to detail, organization, flexibility, judgment, and on behalf of the SVP discretion. This position will report to the SVP, Global Alliances & Channels.

 

The position also provides support to other leadership members of the Global Alliances & Channels team on travel, expenses and budget management.

 

About the Job:

  • Proactive Administrative and Organizational Support
  • Serve as key point of contact for the SVP to internal and external stakeholders
  • Manage day to day schedules
  • Coordinate internal and external meetings including but not limited to global leadership team meetings, cross-departmental, cross-organizational, and one-on-one meetings, etc, and handle logistics accordingly
  • Plan and coordinate extensive international and domestic travel itineraries, including flight arrangements, ground transportation, lodging, visas, meeting scheduling, and any other logistical needs, in line with Software AG’s travel policy
  • Create and update PowerPoint presentations for internal and external use, draft and proofread emails and other internal and external communications
  • Organize, manage and maintain filing system and key information
  • Managing expense reports and timekeeping
  • Other administrative and project duties as requested

 

About You:

  • Works independently within the scope of defined workflows
  • Profound expertise in operational procedures
  • Makes assessments based on own experience, existing processes and workflows to identify and solve problems
  • Carries out orders and supports the work of others; coordinates workflows beyond own area
  • Has a good understanding of how to coordinate teams and resources to achieve business goals
  • Uses tact and diplomatic methods when dealing with others
  • A minimum of 10 years of related work experience in a fast paced, growth-oriented environment
  • Previous Assistant experience for a C-level executive and/or Personal Assistant experience
  • Previous experience working for a global organization with teams across different time zones
  • Excellent verbal and written communication skills
  • Skillful execution of administrative activities, with high attention to detail, organization and process
  • Adept at using Excel, Word, PowerPoint, Outlook, and Teams, and willingness to learn and advance the use of other productivity and collaboration tools as part of the vision towards digital transformation
  • Strong teamwork skills; and a confident work very collaboratively with others
  • Proactive, Results-oriented and strong work ethic
  • Ability to juggle multiple priorities simultaneously and take initiative
  • Agility and flexibility in response to changing priorities and needs
  • Ability to handle confidential material with the utmost discretion
  • Experience with international travel planning

 

Preferred:

  • Experience managing budgets for departments or organizations
