Executive Administrative Assistant to CRO - Santa Clara Office



Provides administrative support.  Handles details of a highly confidential and critical nature.  Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.  Prepares presentation materials for executive meetings.  Makes high level contacts of a sensitive nature inside and outside the company.  Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors.  Experience working with customers, vendors, and visitors.

Essential Job Functions 

  • Ability to prioritize, analyze, and synthesize high volume of correspondence and raise most important for response by executive directly
  • Manage paperwork flow for employee requisitions, staffing changes and global/department organization chart.
  • Reconcile invoices, coordinate travel/itinerary and process expense reports for the group executive and designated leadership team
  • Will monitor flow of traffic access (physical/electronic) to the Executive to alleviate clerical work and provide strong administrative support and coordination among reports. Will generate reports (Word/PPT) as required.
  • Coordinate meetings, travel, calendars, and related items.

  • Able to act with tact and discretion. Must be responsible and able to handle confidential information.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods and coordination of people and resources.  
  • Good problem solving techniques


Education and Experience  

  • University Degree, equivalent training or experience
  • Minimum of 5 years applicable experience
  • Experience in supporting in a global team environment and planning executive Domestic and International Travel
  • Ability to handle confidential information with discretion, and deal with professionals inside and outside the company
  • Strong organizational and interpersonal skills
  • Ability to prioritize and handle multiple assignments at any given time
  • Attention to detail
  • Proficient in MS Office (Word/PPT/Excel)
  • MS Office
