PS Resource Manager





The Professional Services (PS) Resource Manager (RM) is a key position in the Professional Services division. The RM is primarily responsible for the timely staffing of consultants with the proper skillset necessary to ensure successful delivery of services engagements. The RM acts as point of contact for resource booking confirmation, conflict resolution, and development of solutions in support of business goals.



Working with the PS Americas regional team, the RM is responsible for understanding the demand and associated skills required for PS Americas engagements, monitoring capacity needs through review of the services pipeline. The RM works with Practice Leads, Regional Delivery Managers, the Global Resource Management Office, and partners to select appropriate candidates to staff on customer engagements (Internal & External).


The RM maintains consultant scheduling data, understands the skillset mix of PS Americas consultants, and works with the Regional Delivery Managers and Practice Leads to ensure capacity needs are met and managed, including hiring consultants as business dictates. As liaison to the hiring process, the RM oversees the successful onboarding of new consultants into the division.

The RM understands Software AG's major product lines and can discuss with Project Management teams. S/he understands associations between products and can discuss with management so that a more finite decision can be made for the proper resource assignment. The RM collaborates with Management and Practice Leads to identify skill trends in the future to prepare for enablement or hiring needs. S/he develops and cultivates strong customer relationships with internal stakeholders.


As a dotted line into the Global Resource Management Office, the RM collaborates with peer RMs to improve existing RM processes and to evolve Software AG’s Resource Management the next strategic level within Professional Services.


The RM role encompasses four primary areas: 

  • Staffing
  • Capacity Planning
  • Subcontractor and Partner Management
  • Utilization and Reporting



  • Remains knowledgeable of Consultant’s skills sets and corresponding client needs with a strict focus on matching resource solutions expediently and with focus on quality delivery.
  • Arranges periodic meetings with Regional Client Engagement team to discuss all active projects and potential new business as well as to stay informed of potential issues such as resource and change control matters.
  • Works with the Practice and Regional Leaders to identify appropriate resources for open customer engagements.
  • Maintains and provides a list of available, appropriately skilled, and qualified consultants to regional teams in a timely manner for open engagements, escalating appropriately when timely staffing cannot be met through regional, global or partner capacity.
  • Runs weekly resource meetings, to manage and resolve resource booking conflicts across engagements.
  • Manages resourcing forecast spreadsheets for Professional Services based on input from weekly meetings.
  • Monitors consultant schedules, utilization, workload, and where applicable overtime hours.
  • Liaises with the global resource management team to assist with global sourcing and actively markets available consultants to maximize utilization.



  • Partners with Practice Leads, Recruiting, FC&A, and PS Operations to provide a holistic, detailed, and strategic Resource Planning Program for PS Americas, developing long-range staffing plans for the region.
  • Maintains constant knowledge of current and upcoming projects and business development activities as they relate to resourcing.
  • Analyzes resource trending data and, working with Practice Leads, makes recommendations to PS Management regarding training and hiring needs.
  • Works with Practice Leads on enablement plans to ensure skills development is continually aligned to the Software AG solutions.
  • Understands the enablement plans of consultants to align them appropriately to engagements for shadowing and skills development.
  • Supports the Practice Leads in cross training consultants across solutions with the end goal of maximizing billable resource utilization. 
  • Engages PS Americas Lead and FC&A, when capacity plans indicate hiring, reviewing recruiting needs and confirming roles and experience levels required.
  • Works closely with HR to initiate and monitor the recruiting process, providing status updates to PS Americas Lead and PS management.
  • Coordinates interview process for candidates with regional and global team members as required.
  • Oversees the hiring of new employees into PS ensuring that they attend the required new employee onboarding, have been assigned a mentor and are scheduled to shadow existing consultants if necessary.
  • Coordinates subsequent activities for new hires in conjunction with the Practice Lead for the team to which the new hire is assigned.



  • Responsible for sourcing and recruiting contractors and negotiating rates as necessary, from our approved partners for temporary assignments with our customers.
  • Maintains a healthy partner eco-system, through periodic meetings with key subcontractors and partners to ensure efficient staffing of partner consultants maintaining healthy margins and profitability for PS.
  • Coordinates interviews with potential contractors and regional team members and Practice Leads to validate skills required.
  • Ensures proper protocol is followed when hiring contractors, including following the established policies and using the defined tools, ensuring contracts are in place for all contractors.
  • Ensures that partners are aware of our Software AG policies and procedures, the Subcontractor Travel and Expense Reimbursement Policy, and the Software AG invoice process for vendors.
  • Works with Legal and purchasing entities when engaging partners and subcontractors to ensure contract documents are in place and meet Software AG requirements.
  • Responsible for entering all sourcing into in place Software AG global sourcing tools and securing appropriate approvals.



  • Monitors utilization activities and resourcing, identifying potential instances of underutilization and actively works with the Practice Leads to address and solve those issues.
  • Assists with managing and increasing utilization numbers of the Professional Services team.
  • Builds, maintains, and communicates resource forecasts.
  • Manages resourcing forecast spreadsheets for Professional Services based on input from weekly meetings.
  • Responsible for ensuring proper setup of OpenAir user accounts for employees and contractors.
  • Ensures consultants and contractors have access to OpenAir and are following Software AG processes for timesheet and expense report entry.
  • Issues weekly e-mail notifications to the PS management to actively market available consultants, with an easy-to-read snapshot of the available consultants’ skills and skill levels.
  • Provides regular Resource Management reports to the PS Management Team (i.e. Utilization, Work at Risk, Subcontractor Margins, Non-billable Time Analysis) and other ad hoc reports, as necessary.
  • Creates reports in OpenAir and sets up dashboard views for PS management to easily view their revenue and utilization reports.
  • Notifies consultants and the Practice Leads of individual and team utilization percentages.
  • Represents PS Americas with regards to the OpenAir system, making suggestions and implementing improvements where necessary.
  • Works with Regional HR and Global Resource Management to maintain job descriptions and hiring profiles for the PS roles leveraged in the region.
  • Recommends process improvements for Resource Management.
  • Other duties as may be assigned.

  • Shows personal commitment to the PS Americas team and its goals, working to continuously improve the RM processes.
  • Self-motivated to grow professionally, constantly developing RMO skills and expertise.
  • Work with frequent interruptions



  • Proficient in Microsoft Office suite of tools including: Outlook, Excel, Word, and PowerPoint
  • Proficient in SalesForce and OpenAir, in particular the OpenAir Resource module (for softbookings and ascertaining general availability of PS resources)
  • Proficient in SharePoint and Microsoft Teams
  • Able to gain proficiency in new applications relative to the RM role including decídalo, global sourcing, invoicing



  • University Degree, equivalent training, or experience
  • Ideally 5 plus years’ experience in resource management in software solutions industry
  • Proficiency in professional services automation and CRM software
  • Excellent interpersonal and communication skills
  • Exceptional organization and time-management skills
