Payroll Specialist

Responsible for one or more of the following:  new hires, terminations, status changes, tax changes, deductions, direct deposits, time sheet data, rate changes, retroactive adjustments and special pays; maintains vacation, sick leave and worker's compensation records; compiles reports on base and premium pay; posts entries to journals and ledgers; prepares tax deposits and reports; generates and distributes checks; and researches and produces special reports.

 

Essential Job Functions 

 

  • Managing the payroll for the region/s liaising with the payroll bureaus
  • Liaising with staff on payroll related matters
  • Reconciliation of all payroll accounts on a semi-monthly basis
  • Prepare and post semi-monthly payroll journals
  • Prepare monthly payment schedule (net pay, tax,)
  • Check and approve invoices from payroll bureau/s
  • Liaise with HR on payroll related matters
  • Benefits – Liaise with HR or directly with benefit providers
  • Complete payroll year end information for all payrolls
  • Process commission and all bonus payments and merit increases
  • Reconciliation and reporting on payroll tax issues
  • Adding new hires and removing terminations from payroll
  • Assisting with terminations calculations including redundancy
  • Other duties as assigned

  • Proven technical problem-solving ability
  • Regular and frequent inter-action and communication with vendors and other employees, requiring strong inter-personal and written/verbal communication skills.
  • Ability to effectively prioritize problems and manage multiple requests/expectations at once
  • Recognized as a team member who is actively involved in attacking issues, while maintaining an excellent attitude contributing to the overall high morale of the team
  • Excellent interpersonal and written communications skills. Continue to develop professional, interpersonal and internal customer relations skills
  • Ability to interact with internal customers by providing support via phone, web, and email; as well as team-oriented interaction with all
  • Requires the ability to work in an area requiring special attention to detail and regular monthly deadlines.
  • Requires ability to handle highly confidential company and payroll information with appropriate level of professionalism and sensitivity.

 

 

Education and Experience

 

  • Bachelor’s degree in accounting, finance or business administration preferred or equivalent  experience
  • 3 years of relevant payroll experience
  • Requires understanding of payroll concepts, practices and procedures.
  • Requires experience with computerized payroll systems.
  • ADP Payroll experience preferred.
  • Microsoft Word and Excel experience required.
